GST Registration Documents Checklist (by Business Type)

The single biggest cause of GST registration delays is document trouble. Here’s the exact checklist by business type, and how to avoid the usual queries.

The documents everyone needs

Whatever your structure, some things are common to every GST registration:

  • PAN of the business/owner (the GSTIN is built on this)
  • Aadhaar of the owner/partners/directors for authentication
  • Passport-size photograph(s)
  • Proof of the principal place of business
  • Bank proof — a cancelled cheque, or a passbook/statement page

Proprietorship

The simplest case — registered on the proprietor’s own PAN. You need the proprietor’s PAN and Aadhaar, a photo, address proof for the business place, and bank proof. Because it’s on the individual’s PAN, there’s no separate constitution document to provide.

Partnership and LLP

  • PAN of the firm/LLP
  • Partnership deed (partnership) or LLP agreement + incorporation certificate (LLP)
  • PAN and Aadhaar of all partners
  • Photographs of partners
  • Authorisation letter / board resolution for the authorised signatory
  • Business address proof and bank proof

Private Limited Company

  • PAN of the company and Certificate of Incorporation
  • MOA and AOA
  • PAN and Aadhaar of all directors
  • Board resolution authorising the signatory, plus their details
  • Digital Signature (DSC) of the authorised signatory
  • Business address proof and bank proof

The proofs that cause most rejections

Two documents cause the majority of queries: address proof and bank proof. For a rented premises you generally need the rent agreement plus the owner’s electricity bill (or property tax receipt); for owned premises, the bill/receipt in your name; and where the property isn’t in your name, a consent letter (NOC) from the owner. The name and address on the proof must match cleanly.
